Summary
The Academic Program Coordinator provides operational leadership and coordination for ACLM’s learner engagement programs, including Lifestyle Medicine Interest Groups (LMIGs), trainee initiatives, and academic pipeline program logistics across medical students, residents, and early-career professionals.
Essential Functions
1. LMIG Support, Growth & Operations (≈40%)

Coordinate LMIG onboarding, communications, and ongoing support resources across campuses and training sites.

Maintain LMIG toolkits, templates, and operational playbooks; ensure consistent access and usability.

Track LMIG participation metrics, contacts, renewals/updates, and engagement activities; produce regular reporting.
2. Trainee Programming & Leadership Support (≈25%)

Provide operational support for trainee leadership programming, including scheduling, meeting coordination, documentation, and communications.

Support trainee governance structures through agendas, minutes, action tracking, and follow-through.

Coordinate mentorship, leadership development, and learner engagement activities as directed.
3. UME Curriculum Certification Administration (≈20%)

Coordinate certification application intake, tracking, and documentation workflows (e.g., application packets, required artifacts, review scheduling).

Maintain certification records, renewal cycles, correspondence logs, and process documentation; ensure version control and audit-ready organization.

Draft and manage routine certification communications to institutions (deadlines, requirements, reminders, confirmations), escalating substantive questions to the Director.

Support reviewer logistics as applicable (scheduling, packets, routing, follow-up).
4. Conference & Events (Trainee/Academic Engagement) (≈10%)

Coordinate trainee and student engagement logistics for the annual conference (scholarships, communications, event support, checklists, tracking).

Support academic fairs/networking events and trainee-specific programming logistics.
5. Administrative Infrastructure & Cross-Team Coordination (≈5%)

Maintain accurate records, rosters, repositories, and task tracking in SharePoint/Teams/Asana.

Coordinate across Education PM, Membership, Marketing/Comms, and Learning Admin for smooth execution and consistent learner experience.

Smooth execution of trainee-facing events and conference components.

Reduced operational burden on the Director; improved continuity of learner engagement and certification workflow.
Required Education & Experience
-
Bachelor’s degree preferred (or equivalent experience).

2+ years in program coordination, education administration, association programming, or comparable roles.

Demonstrated ability to manage documentation-heavy workflows and deadlines with high accuracy.
Work Schedule & Environment:

This is a full-time remote position. Team members must have a reliable internet connection and be available during core business hours.

Some flexibility in schedule may be required to meet organizational needs across time zones.

Occasional travel (up to 1–2 times per year) may be required for team meetings or conferences.

The position requires extended periods of computer use in a home-office environment. The organization provides access to necessary software and systems; employees are responsible for maintaining a professional workspace and reliable connectivity.

The team collaborates primarily through virtual tools (e.g. Teams, Asana, etc.); regular participation and prompt communication are expected.
